Build a 3-Step AI Workflow for Repetitive Work

Turn one repeatable task into a reviewed research, draft, and reuse workflow.

Quick take

Opening an assistant for random tasks is not a workflow. A workflow has a defined input, a repeatable sequence, quality checks, a person who approves the result, and a record of what happened.

You will build one simple three-step workflow:

  1. Research with a visible source trail.
  2. Draft from the approved research packet.
  3. Reuse the structure as a controlled template.

This is AI-assisted work, not unattended automation. It does not promise a fixed number of hours saved. You will measure your own result.

Choose the right task

Start with a task you perform at least twice and can test with safe information. Good first candidates include a weekly internal update, a public content outline, a meeting summary from approved notes, or a standard project recap.

Do not start with:

  • A high-impact legal, medical, financial, hiring, or safety decision.
  • Credentials, private personal data, restricted client material, or confidential code.
  • A task with no clear reviewer.
  • An external action the assistant could take without approval.

Decision gate: continue only if the input is permitted, the output is checkable, and a person owns final approval.

Step 1: Research

The purpose of research is not to collect as much material as possible. It is to produce a small, traceable packet that supports the next step.

Use an assistant with an appropriate search or source-grounding method. Feature availability varies, so verify the current documentation for your chosen service.

If the gate fails, narrow the question, replace the source, or use the manual research process. Do not ask the drafting step to repair missing evidence from memory.

Step 2: Draft

The draft must use the approved packet, not a fresh untracked research pass.

Draft QA checklist:

If the draft fails, diagnose the cause. Repair the brief for missing direction, the packet for weak evidence, or the prompt for unclear constraints. Do not endlessly rewrite the output without fixing its input.

Step 3: Reuse

Once one execution passes review, separate the stable structure from the variable inputs.

Store the template in an approved location with a version number. Keep input, output, sources, reviewer, and changes together.

Measure your own workflow

The source PDF claimed a fixed weekly time saving. That claim is not retained. Measure one baseline run and at least two assisted runs instead.

Create one measurement record per run:

Time is only one measure. Also record correctness, review effort, rework, and whether the output was actually usable.

Worked example

Illustrative example. The figures below are hypothetical and are not a benchmark or promise.

Maya prepares a weekly public update about a community program. She uses public reports and approved internal notes with no personal records.

  • Brief: produce a 300-word update with three verified facts and next week’s priorities.
  • Research: collect three current public sources and record their dates and limitations.
  • Draft: create a first version using only the checked packet.
  • Review: Maya corrects one overstated sentence and removes one unsupported comparison.
  • Reuse: she saves the approved structure as version 1.0 with variable fields for dates, facts, and priorities.
  • Measurement: the baseline and assisted runs are recorded, including review and rework. No fixed saving is inferred from one run.

The useful result is not speed alone. It is a repeatable record that makes the next run easier to inspect.

Failure paths

Weak or missing sources: stop after Research and use manual research.

Draft invents a fact: remove the statement, inspect the packet, strengthen the instruction, and rerun the QA check.

Sensitive input appears: stop, remove it from the workflow, rotate any exposed secret if necessary, and follow the incident process.

Template becomes stale: return to the brief, update the stable requirements, increment the version, and run a fresh test.

Assistant or feature is unavailable: use the documented manual fallback. A resilient workflow should not depend on one interface.

Completion gate

You are done only when you have:

  • A complete workflow brief.
  • A checked research packet.
  • A human-approved draft.
  • A versioned reusable template.
  • A baseline and at least one assisted execution record.
  • A named stop condition and manual fallback.
